The European Evaluation Society (EES) is looking for a new Professional Conference Organiser to support its Biennial Conference and growing presence in the international evaluation community.

The Biennial EES Conference is a unique event and, together with notably, the American Evaluation Association, the African Evaluation Association and Canadian Evaluation Society Conferences, is considered to be one of the most important platforms for discussing policy and programme evaluation issues worldwide. The Conference brings together evaluators, academics and policy makers to discuss current issues in evaluation theory, methodology and practice.

Selection procedure

The expressions of interest will be reviewed by the EES Board, or an ad hoc committee.

Expressions of interest shall be submitted only by electronic mail to the EES Secretary General, at SG@europeanevaluation.org no later than 18 November 2022 18:00 CET, and should not exceed 10 Mb. Expressions of interest sent beyond this date and time will not be considered.

Out of the eligible candidates a shortlist will be established and further negotiations may follow if more than one candidate is shortlisted. Should you have any questions, please do not hesitate to contact the EES Secretariat.

Questions and requests for clarifications on the RFP from Professional Conference Organisers

 

Q. The RFP specifies that the PCO will be required to work with the Conftool Pro software. Please clarify whether the EES would accept an alternative proposal, whereby the PCO works with their own software, which manages at the minimum all the elements of a conference as described for Conftool while real-time reporting is available to the client (EES) through on-line access with codes.   

A. We are committed to Conftool Pro and do not plan to use an alternative system proposed by the PCO. The EES uses ConfTool pro principally for conference abstract calls, their processing, preparation of the conference programme, registration and the bulk of conference fee payment. (The exception to this latter concerns requests to provide invoices for fee payment for participation by a group or occasionally by individuals, in which case, the  payments are handled manually then logged into the Conftool system). These matters are managed and handled directly by the EES conference team. The PCO therefore is not required to take responsibility for managing these tasks and hence the main workload for them rests with the Conference team. We require only that the PCO becomes familiar with the use of Conftool and is able to support the conference team in its management of conference processes, for example, logging group payments in the system.
